Tips & Tricks: NUMARK LIBRARIAN

December 2, 2008

Got an iDJ2, HDMIX, DDS80 or D2 Director? Here’s a clear, concise guide to getting the most from the Numark Librarian software. We’re also throwing in some tips on uses you may not have thought about for your iDJ2’s USB ports. Numark’s in-house experts share their knowledge.

Getting the most of your iDJ2, D2 Director, DDS80, or HDMIX.

The Numark family of media players, which includes iDJ2, D2 Director, DDS80, and HDMIX, enables you to perform with audio files from your iPod, USB Hard Disk or USB Thumb drive. Using any of these devices as the centerpiece of your rig, you’ll find that getting to the gig, setting up, and cueing up the right music is suddenly easier than ever. Rather than carting cases of CDs to the gig, you’ll be carrying your music collection in your pocket!

While you could just open the box, connect a drive or iPod and go, here are a few tips that will help you maximize the performance of your media player, so you can sail through your gigs like never before.

Get to know Librarian.

While trips to the actual library are becoming a rare thing these days, replaced for many by the Internet, imagine for a moment that you just stepped into a three-story library with countless shelves of books. How do you find what you want quickly?

You could use the card catalog, you could look it up using a search engine on a computer, or you could ask the nice lady behind the counter. Whichever you choose, you’re tapping into a search index: a tool that knows where all the titles are and how to find them fast. That’s what

Numark Librarian software does for your music collection.

Librarian is a free software program that is included with iDJ2, D2 Director, DDS80, and HDMIX. With a few clicks, Librarian analyzes your music collection and creates a library file that is stored on the drive or iPod along with your music. Having a library file has many advantages.

Search, sort, and load faster.

iDJ2, D2 Director, DDS80, and HDMIX all work with or without a Library file. But just like real libraries, they become much more powerful when your collection has an index to speed up searching and browsing. Searching, sorting, and loading files in your library become much faster when you have a library file created on your drive or iPod.

Using the Librarian software on your computer is the best way to create and update your library file, but your iDJ2, D2 Director, DDS80, or HDMIX can also create and update basic library files on your drive or iPod.

If you connect a drive or iPod that does not have a library file on it, you’ll be presented the option to create one or simply browse the files on the device.

If you need to update your library before a gig and you are away from your computer, this can be convenient, but building library files on your computer is much faster. As powerful as the iDJ2, D2 Director, DDS80, and HDMIX are, a Mac or PC has larger amounts of processing power to quickly create a library file.

If your drive or iPod already has a library file on it when you connect it, you’ll be asked whether you want to load or update the library. If you use your computer to update your library file, or if you haven’t added any new songs to your collection since your last update, just choose load.

Get bigger, stronger, faster storage with USB hard drives.

You love your iPod… we all do!  We bring them everywhere we go and so do your clients and audience members. If you are using an iDJ2, consider bringing your main music collection to your gigs on a USB hard drive.  This leaves the iPod dock free for your clients to approach you with requests.

This way, when your big client with the not-so-common taste in music comes up and says, “can you play my favorite song? I have it right here on my iPod,” you can say, “sure!”

Using a USB hard disk has other advantages. For the price, USB hard drives have a lot more capacity and can hold many more songs. Huge, high-quality drives can be found for less and less money every day!

USB hard drives are much easier to back up. Compared to a regular hard disk, which can be backed up as easily as drag and drop, it can be tricky to back up the music and files on your iPod. (You do have your music collection backed up, don’t you?)

USB hard drives are faster. Most full-size USB hard disks spin at 7,200 RPM. This means that compared to the 4,200 or 3,600 RPM drives found in most iPods, a USB hard drive can access and load files faster. This means shorter search and load times.

It’s a great time to be a DJ. The ability to bring tens of thousands of songs to a gig is a relatively new development, but what a space and time saving achievement this is! To maximize the capabilities of your system, we suggest spending a little time with Numark Librarian software and considering a small investment in an external USB hard drive.

We hope you find these tips helpful for supercharging your gigs.

  1. I just wondered what sort of hard drive you would recommend to use with a IDJ2, since the hard drive I have isn’t compatible. Would it be okay to use my Apple MacBook Pro?

  2. The Numark Librarian software is also used with the Numark DDS USB Player. The Numark DDS is the original control panel from the Numark DDS80 and is now sold on it’s own.

  3. my flash memory on the my idj2 is missing i`m looking for numark Librarian Software ..how can i find this program on the net ?

  4. It took me four days running the Librarian software on my Seagate hard drive and the system crashed. I almost lost 30 + thousand song files. The second time I ran it (after backing up my files to another drive), the program took over a week to finish the task. But, when I plugged the seagate hard drive up to the IDJ2, the IDJ2 didn’t want to read the library….no seach options, no tags, etc… I was only able to read files and play them. Any way aroung this? It the problem with the hard drive or with IDJ2 or Librarian?

  5. The Numark Librarian does take some time indexing your file system. The problem is defiantely with the librarian software.

Hopefully Numark will improve it’s speed with the next update.

  6. When I plugged the seagate hard drive up to the IDJ2, the IDJ2 didn’t want to read the library…no search options, no tags, etc… This made the weeks worth of waiting useless. Is it even worth trying it again; maybe with a different hard drive manufacturer?

  7. To be honest – you should also check that your external HDD is correctly formatted with the right file system.

FAT is the correct file system. If your drive has been formatted with the NTFS file system, it may not work because the iDJ2 is unix based.

99% of external mass storage devices should work with all Numark USB products.

    • I’m having the same problem with the HDMIX. 2 different hard drives (Freecom and Western Digital) that aren’t detected. And it’s NOT a formatting problem because they are both FAT32 not NTFS. Ironically an older Freecom hard drive was detected fine but it’s old and unreliable when loading tracks. Any suggestions?

      • Hey Mirage FM,

Have you tried just using a new(ish) usb stick to be 100% sure that your HDMIX doesn’t have an issue. Give Numark a call, they are usually very helpful.

  8. Thanks. I will look into that immediately.

  9. Since I downloaded the latest version of firmware and Numarl Lirarian for my D2 director from Numark.com, I have had a significant speed increase when creating the index files.

The latest version can be found here:

  11. Try Numark’s website. There’s quite a bit on information on there. Also, contact them if you have a question, they should be happy to answer anything.

    • Looking forward to seeing more of your work. {I tend to disagree with the first I’ll be a regular visitor to your site from here on out. I actually felt my brain expand when I browsed your article. This is so valuable, a real mind blower for sure! You got to keep doing what you’re doing. I’m super shocked at how slow your blog loaded on my computer.

  18. have synced my USB drive( 250 gigs ) with the librarian software which took almost a full day !!… and now when i connect it to the idj2 it doesnt show up ???? can u please help

  19. Hey there, I have been using a D2 for awhile and love it. Just recently picked up an HDMIX and when you have a song playing on one side and load a song to the other side, the song playing blanks out for about 1-2 seconds. I’ve seen some other comments about this too – but no solutions. Can you please help?

    • I have the same problem and it makes my gigs look unprofessional. Let me know if you figured anything out. I found that if I load all my playlists once this doesn’t happen but that is unrealistic to do or a long gig.

  20. Hi,

I was thinking about purchasing the iDJ2 for mixing tracks and possibly recording my mixes. Now, I work a lot with Pro Tools and was wondering if there was a way to record my mixes on Pro Tools if I used the idj2 as an instrument like I use my Motif. By plugging my motif into my interface I can easily use the sound generator to record my sounds on a particular track. Can I do this with iDJ2? if not, are there other programs that I can us to record mixes? I work on a Mac OS and if there are other programs it would be truly appreciate if you can help me find the best program for this product.
    Thank you,

    Vic Brown

  21. I have the DDS80. I just can’t seem to figure out how to erase the songs on the DDS 80 hard drive. Can some explain this process to me please?

    • I just bought a HDMIX and was wondering how to erase files myself. So far I haven’t figured out any way to do it on the HDMIX itself. I think the only way is to take out the hard drive and do it on a computer. I hope I’m wrong though.

  22. We keep getting the message looking for firmware on our numbark dds80? Then we have to shut the unit down and try it again? Sometimes it takes 10 times to get it working. The hardrives are fine and updated correctly and we have 12 numarks and 2 seem to be having this problem?

  26. hI i HAVE LOADED MY HUGE LIBRARY OF MUSIC TO A FAT 32 HARD DRIVE. I HAVE INSTALLE DTHE LIBRARY TOOL AND RUN IT ON A PC TO INDEX THE MUSIC BUT IT STILL WILL NOT SEARCH ON THE D2 ANY IDEAS PLEASE?

    • D2 Drive Format and Organization
      Choosing The Right Drive Format
How you format your library’s hard disk can impact whether certain functions on the D2 will be available to you. On Windows computers, hard disks are generally formatted on one of two ways: FAT32 or NTFS. On Macintosh computers, hard disks generally use a format called HFS+.

FAT32 and HFS+ formatted hard disks have full read/write functionality when used with the D2. When using NTFS formatted hard disks, however, the D2 supports read-only functionality. While NTFS these drives will still work with the D2, this means that the D2 will be unable to save information to the NTFS drives. Because of this, the hard disk format you choose is an important decision. Since it takes a long time to build a library, you want to choose the right format the first time.

If your library is built on an NTFS formatted hard disk, you will be unable to create playlists on the D2 and save them to your hard disk. The ability to do create, modify and save playlists right on the D2 is important to most users.

Additionally, libraries on NTFS formatted hard disks can only be updated on the computer using the librarian software. Each time songs are added or removed from your drive, the library file on the drive needs to be updated. If the drive being used is FAT32 or HFS+, you can also perform library update on the D2 itself. This could come in handy in the event that you add songs, but forget to update the library on the computer at home, or if you ever add songs on a computer that doesn’t have the librarian software installed.

      Formatting The Drive
When formatting a drive to FAT32, one issue that Windows users will often run into is that Windows will not allow a drive that is over 32GB to be formatted into FAT32. For all drives over 32GB, windows restricts the choice to NTFS. The actual size limit to FAT32 is much larger (up to 2 Terabytes). Many hard disk manufacturers include third-party disk formatting utility programs with their hard disks to offer users alternative to the Windows disk formatting utilty. These third-party disk formatting utilities will often be able to successfully format disks larger than 32GB into FAT32. In case your hard disk did not come with a utility which can do this, the free (Win XP) utility called SwissKnife can be downloaded from the link below:

§ SwissKnife – a free versatile hard disk formatting utility which can format drives larger than 32GB as FAT32 (Win XP)

Important Information About Organizing Your Audio Drive
There are some peculiar aspects of FAT32 drives that are important to be aware of when building and organizing your drive:

      1. Do not put over 300 songs in one folder or directory.
Having all the songs, or a large number of songs in the same folder is very inefficient under the FAT drive format.
The correct way to organize your songs is to split the tracks across folders – no more than 300, per folder. The number of folders isn’t important, the number of tracks in each is important. Even if your songs are organized into folders (i.e. by genre), you may run into problems loading and playing songs if there are large numbers of them in each folder, songs. This behavior is also observed with other devices on the market that play files from removable drives (i.e. Cortex and Denon).

      2. Once a large number of songs has been placed in a directory, that directory will have problems until it is deleted.
Another important feature about FAT32 drives is that once the file allocation table is grown, it never shrinks. This means that if the diskever had a large number of songs in the root directory, it may have problems until it is reformatted. Likewise, if there are sub-folders which have ever had large number of files in them, they may have problems until that folder is erased.

As you build and organize your drive, keep this in mind, and make sure that you do not place large numbers of songs into the root level of the drive, or into any folder at any time. If this does happen, the folder or directory that contained the songs needs to be deleted to fix the issue. Unfortunately, if the directory that contained the songs was the root level of the hard disk, the disk will need to be reformatted to resolve the structure issue. This is one reason why products like the iPod always copy tracks into many small directories.

      Best regards,

      • I’m sorry I forgot to mention that I was also told that the hard drive you’re using needs to be partitioned into 250GB partitions.

I have just downloaded the latest librarian software but not sure how to just copy playlist to other devices. Can anybody help?

  30. Hi, Thanks for all the info to date. Does the drive your using have to be limited to 250gb partitions under NTFS formatting or just if formatted as FAT32?

    Thanks!
